Sircle Agency values your privacy. In this statement we explain which personal data we process, why we do so, how long we keep it and which rights you have. This statement follows the General Data Protection Regulation (GDPR, known in the Netherlands as the AVG).

2. Which data do we process?
We only process data you provide to us yourself, or data we need to deliver our services. Depending on the situation, this may include:
- Name and contact details (email address, phone number, company name)
- Invoicing and payment details
- The content of messages you send us (via a form, email or chat)
- Technical data such as IP address, browser type and pages visited (via cookies and analytics)
3. What do we use this data for?
We use your data only for the following purposes:
- Getting in touch to respond to your question or request
- Performing our agreement with you (for example when we work on a project together)
- Sending invoices and keeping our records
- Improving our website and services (anonymised statistics)
- Meeting legal obligations (for example tax records)
We never sell your data to third parties.
4. On what legal basis do we process data?
Under the GDPR we always need a legal basis. In our case that is:
- Performance of a contract, when you are or become a client
- Legitimate interest, for commercial follow-up after a request and for website analytics
- Consent, when you sign up for a newsletter or accept cookies
- Legal obligation, for example tax or record-keeping obligations
5. Sharing with third parties
We only share your data with third parties when this is needed to deliver our services or when we are legally required to. For example:
- Our hosting provider (where this website runs)
- Our accountant (for invoicing and records)
- Software suppliers for email, CRM, scheduling and analytics
- Freelancers in our network who work under confidentiality
We sign a data processing agreement with every processor that handles personal data on our behalf. Data is never stored outside the EEA (European Economic Area) without appropriate safeguards.
6. Cookies and analytics
Our website uses cookies to improve its functionality and to keep anonymised visitor statistics. You can always switch cookies off in your browser settings.
Fathom Analytics
For visitor statistics we use Fathom Analytics. Fathom places no cookies and stores no data that identifies you as a person. We only see totals, such as the number of visits per page.
Cal.com
When you book an intro call through our website, the booking runs through Cal.com. The details you enter there, such as your name, email address and any notes, are used only to schedule and prepare the call.
Leadinfo
On some of our pages, such as proposals we share with clients, we use the lead generation service of Leadinfo B.V., Rotterdam, the Netherlands. The tool recognises company visits to our website based on IP addresses and shows us publicly available information, such as company names or addresses. Leadinfo also places two first-party cookies to evaluate how visitors use our website, and processes domains from form entries (for example "leadinfo.com") to match IP addresses with companies and improve its services. More information is available at www.leadinfo.com. On this page: leadinfo.com/en/opt-out you can opt out. After an opt-out, Leadinfo no longer records your data.
7. How long do we keep your data?
We keep personal data no longer than necessary. Specifically:
- Contact requests: up to 2 years after the last contact
- Client data: for the duration of the agreement plus 7 years (the legal retention period for records)
- Technical log and analytics data: up to 26 months
8. How do we protect your data?
We take appropriate technical and organisational measures to protect your data against loss or unlawful processing. Our website uses SSL encryption, access to personal data is limited to authorised people, and we update our systems regularly.
9. Your rights
Under the GDPR you have the following rights:
- Access, you may ask which data we hold about you
- Rectification, you may have incorrect data corrected
- Erasure, you may ask for your data to be deleted (unless we are legally required to keep it)
- Restriction, you may ask us to restrict processing
- Portability, you may request your data in a structured format
- Objection, you may object to processing based on legitimate interest
- Withdrawal of consent, where we process data based on your consent

10. Filing a complaint
Do you disagree with how we handle your data? Please contact us first, we are happy to sort it out together. If we cannot resolve it, you always have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.
11. Changes
We may update this privacy statement when our services or the law give reason to. The latest version is always on this page, with the date of the last update at the top.
